The big day is here! One or two hours before the event starts, send a reminder through your community's communication channels. Reconfirm the start time and let participants know how to recognize you, for example, by mentioning that you'll be wearing a Bitcoin T-shirt and cap.
As your meetups grow and you begin welcoming more than 20 people, preparing the venue will become increasingly important.
Here's what to do:
- Arrive early to set things up.
- Arrange the space according to your needs and the venue's possibilities. If you're only six people, little setup is needed. But once you reach 10-20 attendees, a fully seated layout can limit interactions. In that case, choose a standing setup with well-spaced high tables if available, while still providing a few (preferably high) chairs. If a presentation is planned, keep the standing layout for most of the evening and bring in chairs just before the talk.
- Add small custom touches:
- Put up a poster at the entrance to indicate your location (use Patafix and get the venue's permission first).
- Display Bitcoin-themed posters inside (Bitcoin white paper, your community charter, current projects, etc.).
- Place stickers, flyers, or conversation starters on tables, for example: a Nerdminer, hardware wallet, laptop displaying its Mempool, ASIC miner, or metal backup plate for private keys.
If you're expecting only a few participants and haven't yet built a relationship with the venue managers, avoid bringing and displaying all your equipment right away. Once trust is established, you'll have more freedom to arrange the space as you wish.
Finally, grab a drink and wait for people to arrive. And remember: don't be discouraged if no one comes the first time. Bring a book or a video to watch, just in case.
